Ctrl-RIA · AI email for Registered Investment Advisors

You're buried
in email.

And you can't quit it. Your whole business runs through it.

Trades. Reviews. Regulator notices. Client questions. Email is where the work actually happens, and the inbox you spend three hours a day in has no idea what any of it means. So we rebuilt the inbox.

What it gets you

Faster replies. Fewer misses.
Your evenings back.

The counterparty graph loads context. The AI reads the email. The workflow layer surfaces the next step. What you feel is that the friction you used to fight through every day just isn't there anymore.

2–3×
faster through daily email
Context pre-loaded. First drafts already written. Filing happens automatically. No more copy-paste into the CRM.
0
missed deadlines
RMDs, trade requests, regulator responses, surfaced three days before they hit, every time.
seconds
to full client context
Every email, document, commitment, and open item for a client: one click from any thread. No mental reconstruction.

Walk into every meeting prepared.

One click on the counterparty view and you have everything: every email, every commitment, every open item, grounded in live custodian data. Prep time: seconds, not twenty minutes.

Never lose a prospect in your inbox.

New inquiries are classified, routed, and tracked automatically. Your pipeline lives inside your inbox, not in a CRM report you open once a quarter and regret.

Stop being the year-end bottleneck.

RMDs, Roth conversions, tax-loss harvesting, surfaced three or more days before their deadlines. No more December 30 scrambles at 4 PM.

Leave work at work.

When context is automatic and deadlines surface themselves, the 9 PM "did I forget something?" goes away. Your weekends come back. So does the part of this job you used to like.

The problem

Your inbox organizes by folder, sender, date.
You organize by client.

Every reply starts cold. You re-read five emails to remember what you committed to last time. The Stevenson household has 142 threads scattered across two addresses, and your inbox has no idea any of them are related.

The filing tax never ends. Copy into Wealthbox. Forward to Smarsh. Tag, label, archive, repeat. Half an hour a day, every day, forever, and the CRM is still a step behind because it gets the data after the work is already done.

The market's answer has been to bolt more tools onto a broken medium. CRMs, note-takers, archives. Each adds a seat, an integration, a context switch. None of them fix the medium.

The insight

The AI email client
that knows your clients.

Ctrl-RIA's organizing unit isn't the message. It's the counterparty: the person, couple, trust, or firm on the other side. Outlook is great at email. It doesn't know anything about investing. Ctrl-RIA does.

  • 01

Mrs. Stevenson and Mr. Stevenson, who filed jointly and email from separate accounts, show up as one client. Not two senders.

  • 02

Vendor X's five reps across three domains become one counterparty. One ongoing conversation.

  • 03

Every time you think "what's happening with the Stevensons?". One click gets you everything. Years of email, documents, commitments, compliance events. Zero filing.

Beyond organization

Email that understands the work.

Once the inbox knows who, it can start to know what. Each thread gets a vertical-specific intent label. Each counterparty has a state. Ctrl-RIA surfaces the next action and, with your approval, takes it.

Built for your stack

Knows what your business knows.

The AI's answer to "what's my balance?" is only as good as the data it has. Ctrl-RIA reads from the systems your firm already uses, so every draft, every classification, every next-action recommendation is grounded in what's actually true, not what was guessed.

What Ctrl-RIA isn't

Not another tool to bolt on.

Not a CRM.

But it syncs with Wealthbox, Redtail, and Salesforce FSC.

Not an AI meeting assistant.

But it works alongside Jump and Zocks: their notes flow in; we handle the inbox.

Not a compliance archive.

But it feeds Smarsh and Global Relay, and ships 17a-4-ready retention.

Not generic AI email automation.

Those tools are horizontal. We built this one for RIAs, specifically.

Under the hood

Built like infrastructure.

Email sync, a counterparty graph, local AI inference, and a 17a-4-ready compliance core. The system underneath the inbox.

  • Email sync Gmail + Outlook, backfill + incremental delta, JMAP-shaped. Production-tested at 80K+ messages/mailbox.
  • Counterparty graph Per-tenant taxonomy. Joint filers, trusts, multi-contact vendors, recognized automatically.
  • AI classification Local-first inference on hardware we run. Intent, counterparty type, next action: seconds per email.
  • Compliance foundation Token encryption at rest. Append-only audit log. 17a-4-ready retention architecture.
  • Operator tooling Full admin console. Tenant health, pipeline telemetry, replay-based iteration.

FAQ

Asked and answered.

Does Ctrl-RIA replace Outlook or Gmail?
It replaces the client you look at, not the mailbox underneath. Ctrl-RIA connects to Microsoft 365 or Google Workspace with OAuth and syncs both directions: your address stays the same, your phone keeps working, and if you ever leave, your mailbox is exactly where it always was.
Where does the AI run?
Day-to-day classification runs on inference hardware we operate, not a shared third-party AI service; only the hardest extractions escalate to a frontier model. Either way, we never sell your mail and never turn it into training data.
How is this different from a CRM like Wealthbox or Redtail?
A CRM is a database you copy email into after the work happens. Ctrl-RIA makes the inbox itself client-organized: threads roll up by household, trust, or firm automatically, so the context is already there when you reply. No filing step.
What about SEC books-and-records compliance?
Ctrl-RIA ships a 17a-4-ready retention architecture: an append-only audit log and retention designed for SEC books-and-records requirements. Your existing compliance archive keeps working alongside it.
How long does setup take?
Connecting your mailbox is one OAuth consent. Minutes. Initial history sync and AI classification run automatically from there; even an 80,000-message mailbox finishes within a day or two. Custodian data import is handled with you during onboarding.
What does early access cost?
We onboard firms individually during early access and shape pricing with them. Request access below and we'll get back to you within two business days.
